How do I cancel or close a job?
Stop tracking a job and finalize any open bonuses.
Purpose
Jobs come and go. Sometimes you cancel before completion, sometimes you close after. Both happen in your integration first, but Protiv has logic for what happens to the related ProPays.
Important: Cancel In Your Integration First
Job cancellations and closures originate in your integration (Aspire, Jobber, etc.). Protiv reflects what's there.
When To Use This
Use this when:
- A customer cancels a project mid-stream
- A job naturally completes and you want to finalize bonuses
- You need to clean up old open jobs
What Happens When a Job Is Canceled
When your integration marks a job as canceled, the next sync brings that status to Protiv. Then:
- Open ProPays for that job move to canceled status
- Time entries that came in are still preserved
- No further calculation runs
What Happens When a Job Is Closed / Completed
When marked complete:
- Final ProPay calculation runs
- Bonus is determined and goes to approval (if not already approved)
- Manager approves, line items generate, payouts proceed
Manual Closure in Protiv
You can manually finalize a ProPay even if the integration job hasn't moved. This is for edge cases where the integration is laggy.
Open the ProPay → Approve. The system runs final calculation regardless of integration status.
What If a Job Is Already Approved When the Customer Cancels?
If you've already approved and the customer cancels:
- Bonus may have already paid out
- You can reverse the approval if needed
- Or apply a deduction next period to recover
This is rare but happens. Talk to support if the dollar amount is significant.
Common Mistakes & How To Fix Them
"I canceled in the integration but Protiv still shows it open" Wait for the sync. If still showing after one cycle, force a manual resync.
"I want to delete a canceled ProPay" Canceled ProPays stay for audit. They don't impact bonuses.
