How do I set up geofencing for time tracking?

Use location-based rules to validate worker time entries.

Purpose

Geofencing lets you set up location-based rules so time entries are validated against where the work is happening. This article walks through setup.

When To Use This

Use this when:

  • You want to verify workers were on-site for time entries
  • You're seeing time-tracking discrepancies
  • A customer asks for location-validated billing

Setup

Go to Settings → Time → Geofencing.

For each location:

  • Enter the property address or coordinates
  • Set the radius (e.g. 100 meters)
  • Set rules (e.g. clock-in only valid within radius)

What Happens with Geofencing On

  • Workers attempting to clock in outside the radius get flagged
  • Time entries outside the geofence appear in a separate review queue
  • Managers can approve or reject flagged entries

Note on Mobile

Geofencing is most useful with the Procore mobile clock-in flow. Workers using their integration's app for time tracking will still get their time tracked even outside the geofence; the validation happens in your integration, not Protiv.

Common Mistakes & How To Fix Them

  • "Workers can't clock in even though they're on-site" Check the radius. GPS can drift. 100m is usually safe; smaller radii cause false negatives.

  • "Geofencing isn't validating" Verify it's enabled at the route level. Some setups need both geofencing settings AND route assignment.
