How do workers, jobs, and milestones get into Protiv?
Why you can't create them in Protiv, where they come from, and what to expect.
Purpose
A common first question: "How do I add a worker to Protiv?" The answer surprises some people.
Workers, jobs, and milestones don't get created in Protiv. They sync in from your existing systems. This article explains how that works.
When To Use This
Use this when:
- You're new to Protiv and wondering where to add workers
- A team member can't find the "+ New Job" button
- Something is missing from Protiv and you need to know where to look first
The Short Answer
Protiv doesn't create jobs, workers, milestones, routes, or branches. Your integration creates them in their system, then they sync to Protiv on a schedule.
What Protiv shows you is a mirror of what's already in your other system, plus the bonus calculations layered on top.

Some integrations let you trigger a manual resync if you can't wait for the next scheduled run.
What "Read-Only" Means
In Protiv:
- Workers can have their wage edited, role changed, or be deactivated. But you can't add a brand new worker to Protiv directly.
- Jobs can have missing budget info or manager assignments added. But you can't create a job from scratch.
- Milestones can have progress updated. But you can't add a brand-new milestone to a job.
- Routes and branches are also read-only.
Anything you want to truly create goes in your integration first. Then it syncs to Protiv.
What You CAN Create Directly in Protiv
To set expectations clearly, here's what IS createable in Protiv:
- ProPays (built FROM synced jobs)
- Bonus pools and assignments
- Statements and statement line items (manual bonuses, deductions)
- Pro-Goals and Pro-Goal templates
- Disqualifiers and penalties
- ProPay creation exclusion rules
- Divisions
- All settings and configurations
Notice the pattern: anything tied to bonus calculation is yours to manage in Protiv. Anything tied to project management or workforce records lives in your integration.
Why It Works This Way
Two reasons.
One source of truth. If you're tracking a job in Aspire AND in Protiv, those records will drift apart. Sync makes Aspire the source of truth.
Less work for your team. No double entry. Set up a job once in your scheduling system and it just shows up in Protiv.
What If a Job Is Missing in Protiv?
It usually means one of three things:
- It hasn't synced yet. Check the sync timestamp on your integration page.
- It was excluded by a ProPay creation exclusion rule. Check Settings → ProPays → Exclusions.
- It's in your integration but with a status Protiv ignores (e.g. canceled, draft).

Common Mistakes & How To Fix Them
"I tried to add a worker and the button isn't there" Correct — there's no "Add Worker" button in Protiv. Add the worker in your integration. They'll sync over.
"I added a job in Protiv and it's not showing up in Aspire" You can't add a job in Protiv. Whatever you saw was likely an existing job's "add missing info" page.
"My integration says the job exists but Protiv doesn't show it" Wait one sync cycle, then check exclusion rules. If it still doesn't appear, contact support.
