How do I approve a Group ProPay?

Approve a grouped ProPay once to finalize bonuses for multiple jobs at the same time.

Purpose

This article shows you how to approve a Group ProPay in Protiv. Approving a Group ProPay finalizes bonuses for all included ProPays in one action, saving time and reducing payroll work.

When To Use This

Use this when:

  • You have a Group ProPay that’s ready for payout
  • Multiple ProPays were grouped by route and pay period

Before You Start

Before approving a Group ProPay:

  • The Group ProPay must have progress greater than 0%
  • Workers with zero labor cost must be excluded from bonuses
  • All workers must have wages set
  • You must have permission to approve ProPays

Quick Path

  1. Open the Group ProPay.
  2. Click Approve.
  3. Review details and warnings.
  4. Confirm approval.

Step-by-Step Instructions

Step 1 — Open the Group ProPay

  • Go to the ProPays section and find the Group ProPay you want to approve.
  • Group ProPays are labeled with a PPG code.
  • Click the Group ProPay to open its details page.

Step 2 — Click Approve

  • At the top of the Group ProPay, click Approve.

Note:
The Approve button only appears if the Group ProPay is in an approvable state.

Step 3 — Review the approval details

An approval window opens where you can review:

  • Route and pay period information
  • Bonus amounts included in the group
  • Any warnings or issues that need attention

You may also have options to:

  • Remove incomplete ProPays from the group
  • Set a custom approval date (defaults to today)

Step 4 — Confirm approval

  • Click Confirm Approval to finish.
  • Protiv will check for missing wages or other issues before completing the approval.

Examples

A Group ProPay includes five ProPays from the same route in the same week.

Instead of approving five separate ProPays, you approve the Group ProPay once.
All eligible bonuses are finalized together.

Common Mistakes & How To Fix Them

  • Approval fails due to missing wages
    Set wages for all workers, then try again.

  • Zero labor cost warning
    Exclude workers with zero labor cost from bonuses before approving.

  • Assuming approval pays workers immediately
    Approval finalizes bonuses. Payout happens in the next step.
