How do I approve a ProPay?

Approve an individual ProPay to finalize bonuses for a single job or payout.

Purpose

This article explains how to approve an individual ProPay in Protiv. Approving a ProPay finalizes bonus calculations for that specific job or payout so it can move to payment.

When To Use This

Use this when:

  • You need to approve a single ProPay, not a group
  • The ProPay is not part of a Group ProPay
  • The job or milestone is complete and ready for bonus approval

Before You Start

Before approving a ProPay:

  • The ProPay status must be Active
  • The ProPay must not belong to a Group ProPay
  • All workers must have wages set
  • The ProPay must not have partial bonus payments
  • You must have permission to approve ProPays

Quick Path

  1. Open the ProPay.
  2. Click Approve.
  3. Review the details and warnings.
  4. Confirm approval.

Step-by-Step Instructions

Step 1 — Open the ProPayGo to the ProPays section and find the ProPay you want to approve.

Individual ProPays are labeled with:

  • PP codes

  • PPC codes (for callbacks)

Click the ProPay to open its details page.

Step 2 — Click Approve

In the header of the ProPay, click Approve.

Note:
The Approve button only appears when the ProPay status is Active.

Step 3 — Review the approval details

An approval window opens where you can review:

  • Job or milestone information
  • Route and pay period
  • Available bonus amounts

You may also see:

  • A warning if the ProPay belongs to a Group ProPay
  • An option to set a custom approval date (defaults to today)

Step 4 — Confirm approval

  • Click Confirm Approval to finish.
  • Protiv will check for missing wages or other issues before completing the approval.

Examples

  • A single job finishes mid-week and isn’t part of a route-based group.
  • You open the ProPay, approve it, and the bonus is finalized without waiting for other jobs.

Common Mistakes & How To Fix Them

  • Error saying the ProPay belongs to a group
    That ProPay must be approved from the Group ProPay instead.
  • Approval blocked due to missing wages
    Set wages for all workers, then try again.
  • Partial bonus already paid
    ProPays with partial payments can’t be approved. Review the payout history.
