How do I edit bonus pools for an individual ProPay?

Learn how to adjust bonus pool percentages for a single ProPay and understand when edits are allowed.

Purpose

This article shows you how to edit the bonus pool split on an individual ProPay.
This controls how available bonus dollars are divided between roles like managers, crew, and crew leads.

When To Use This

Use this when you need to:

  • Adjust how bonuses are split for one specific ProPay

  • Fix an incorrect bonus percentage before approval

  • Customize a bonus split for a one-off job or situation

  • Review why bonus editing is locked on a ProPay

Before You Start

Before editing a bonus pool, make sure:

  • You have access to view and edit ProPays

  • The ProPay is not fully locked or restricted by status

  • The ProPay is not restricted by a ProPay Group setup

  • You understand your company’s bonus rules and policies

Quick Path

  1. Open the ProPay you want to edit

  2. Find the Bonus Pool section

  3. Edit percentages so the total equals 100%

  4. Save your changes

Step-by-Step Instructions

Step 1: Open the ProPay

Go to the ProPays list and open the individual ProPay you want to update.
Scroll until you see the Bonus Pool section.

Step 2: Start editing the bonus pool

In the Bonus Pool section, click Edit.
This opens the bonus pool editor.

Step 3: Adjust bonus percentages

You can update how the bonus is split between available pools, such as:

  • Company Pool

  • Manager Pool

  • Crew Bonus

  • Crew Lead Pool

Edit the percentage values for each pool as needed.

Important rules:

  • All bonus pools combined must equal 100%

  • You cannot save until the total is exactly 100%

  • The total row shows if your split is valid

Step 4: Add or remove bonus pools (if available)

If allowed, you can:

  • Add a bonus pool by selecting an available category and setting a percentage

  • Remove a bonus pool using the delete option next to it

When you remove a pool, its percentage is redistributed across the remaining pools.

Step 5: Save your changes

Once the total equals 100%, click Save.
The editor closes and the ProPay refreshes with the updated bonus split.

Examples

  • Adjusting a ProPay so crew leads receive a higher percentage for a complex job

  • Reducing manager allocation on a short-duration ProPay

  • Rebalancing bonuses after correcting job scope

Common Mistakes & How To Fix Them

  • Total does not equal 100%
Fix: Adjust percentages until the total is exactly 100%.

  • Edit button is missing or disabled
Fix: Check if the ProPay is grouped or already approved.

  • Changes don’t apply as expected
Fix: Refresh the ProPay and confirm the save completed successfully.

  • Trying to edit a grouped ProPay
Fix: Bonus pools may be controlled at the group level instead of the individual ProPay.
