How do I review bonuses before approval?

Use the “ProPays Ready to Be Approved” section to quickly review completed work before approving bonuses.

Purpose

This article shows you the fastest way to review bonuses before approval.
You’ll use the ProPays Ready to Be Approved section on the dashboard to see what work is eligible and ready to pay out.

When To Use This

Use this when:

  • You want a quick list of ProPays or ProPay Groups ready for approval
  • You’re preparing for payroll and need to review completed work
  • You want to confirm what bonuses are eligible before approving

Before You Start

Before reviewing bonuses, make sure:

  • Jobs or milestones are completed
  • Route periods have ended for grouped work, if applicable
  • You have permission to approve ProPays

Quick Path

  1. Go to the dashboard

  2. Find ProPays Ready to Be Approved

  3. Click into a ProPay or ProPay Group

  4. Review details

  5. Approve when ready

Step-by-Step Instructions

Step 1 — Go to the dashboard

This is your starting point for bonus review.

  1. Open the Protiv dashboard

  2. Look for the section labeled ProPays Ready to Be Approved

This section only shows work that is eligible for approval.

Step 2 — Understand what appears in “ProPays Ready to Be Approved”

This section can include both individual ProPays and ProPay Groups.

It shows items that meet these conditions:

  • Status is Active
  • Work is completed, or the route period has ended
  • Not already approved

Note: You won’t see draft or incomplete ProPays here unless the route period has ended.

Step 3 — Open a ProPay or ProPay Group

From the list:

  1. Click the ProPay or ProPay Group you want to review

  2. Review job completion, workers included, and bonus amounts

  3. Check for any warnings about incomplete or over-budget work

Step 4 — Review before approving

Before you approve, confirm:

  • All required jobs or milestones are complete

  • The right workers are included

  • Bonus amounts match expectations

  • Any warnings make sense for your situation

Once approved, bonuses move from projected to approved.

  • You want to see everything ready for payroll this week
    → Open ProPays Ready to Be Approved on the dashboard

  • A route ended but some work is incomplete
    → Review the warning before deciding to approve

Common Mistakes & How To Fix Them

  • Looking for ready-to-approve ProPays inside old groups
    Fix: Start from the dashboard instead

  • Approving without opening the ProPay
    Fix: Always click in and review details first

  • Expecting in-progress work to appear
    Fix: Only completed work or ended route periods show here
