How do materials and production tracking work with Aspire and Protiv?
You can track how much work is done based on materials used, like “10 trees installed” = 50% of the job completed.
If you're using Aspire and Protiv together, you can do more than just track hours—you can also track production using materials.
This means you can tie bonus payouts to real-world progress.
Like: How many trees got installed?
Or: How much mulch was spread?
This guide explains how material allocations work, how they sync, and how they power production tracking in Protiv.
First: What’s a material allocation?
A material allocation is a material (like trees, mulch, fertilizer, etc.) that’s tied to a specific work ticket in Aspire.
Once Aspire is connected to Protiv:
- You can view, search, add, or edit materials on a milestone (milestone = work ticket).
- Any changes you make in Protiv will sync back to Aspire every ~20 minutes.
- These materials are used to track the % completion for bonus calculation.
Example: How production tracking works
Let’s say you’re doing a tree installation job.
- In Aspire, you created a work ticket with 20 trees allocated.
- That ticket shows up in Protiv as a Milestone with a material called “Tree – 20 units.”
- Your crew installs 10 trees and logs that in Protiv.
Now, Protiv knows you’re 50% done with that milestone.
That percentage updates automatically based on how many trees were “used.”
This means managers don’t have to guess how far along the team is—it’s all based on the materials used in the field.
What you can do in Protiv
For each milestone (aka work ticket), you can:
- Search for a material (if it’s already allocated from Aspire)
- Add a new material if it wasn’t already listed
- Edit the quantity used (e.g., went from 0 → 10 installed)
- Tie that usage directly to production progress
All changes will:
- Be tracked inside Protiv
- Sync back to Aspire automatically
- Drive bonus eligibility based on progress
What materials don’t do
Just to be clear:
- Materials don’t automatically complete a milestone—they update % complete only.
- You still need to mark the milestone as Complete (via Aspire or Protiv) to trigger the bonus flow.
- Material use is a tool for tracking progress, not a replacement for review.
Sync Details
Material updates sync both ways:
- If you update a material’s quantity used in Protiv, Aspire reflects that.
- If you update the material in Aspire, Protiv picks it up in the next ~20 min sync window.
