How does Protiv work, end to end?

A 5-minute overview of how work, ProPays, and bonuses move through Protiv.

Purpose

This article explains how Protiv works at a high level. It's the first thing you should read if you're new to the platform.

You'll get a clear picture of how data flows from your existing systems into Protiv, how bonuses get calculated, and how money ends up on a worker's paycheck.

When To Use This

Read this when:

  • You're a new admin getting set up
  • You want to explain Protiv to your team
  • You need to understand where data comes from and where it goes

How Protiv Fits In

Protiv sits on top of your existing systems. It doesn't replace your job management, your time tracking, or your payroll. It uses data from those systems to do one thing well: calculate fair, performance-based bonuses.

The flow looks like this:

  1. Your integration syncs job data into Protiv (Aspire, Jobber, BOSS, LMN, QuickBooks Time, Procore — pick yours)
  2. Protiv builds ProPays from that synced data. A ProPay is the labor budget for a job.
  3. Workers do the work. Time gets tracked in your time-tracking system and syncs to Protiv.
  4. Protiv compares budget vs actual and calculates bonuses when crews come in under budget.
  5. You review and approve ProPays as work completes.
  6. Bonuses land on a worker's bonus statement. You pay it out and the data exports to payroll.
  7. Workers see their bonus in real time on the Protiv mobile app.

What Each Piece Does

Jobs and milestones Synced from your integration. Read-only in Protiv.

ProPays Built by Protiv. Hold the budget, track the work, calculate the bonus.

Bonus pools Configure how the bonus money splits between crew, crew lead, manager, and the company.

Statements Per-worker summary of all bonuses for a pay period. What goes to payroll.

Pro-Goals Separate from ProPays. Goal-based incentives with tiered rewards. Use these for safety goals, quality targets, and longer-running performance objectives.

Who Does What

Admins set up the program: bonus pools, payroll cycle, integrations. Managers review and approve ProPays. Crew leads see bonus progress for their crew. Workers see their own earnings on the mobile app.

How Work Becomes a Paycheck

Take a single landscaping job:

  1. Aspire creates the job. It syncs to Protiv overnight.
  2. Protiv builds a ProPay for the job with the budget you set up.
  3. Crew clocks in via Aspire. Time syncs back to Protiv.
  4. Job finishes under budget. Protiv calculates the savings.
  5. Manager approves the ProPay.
  6. The bonus goes onto each worker's statement, split per the bonus pool rules.
  7. Statement gets paid out. Worker sees it on their app.

That's the whole loop.

What Protiv Doesn't Do
