How to Archive People Who No Longer Work for Your Company

Hide people who no longer work for you. Archiving keeps your People list clean without deleting any past work or pay history.

When someone leaves your company, you don't have to leave them sitting in your People list. You can archive them.

Archiving hides a person from your active People list and blocks their access to Protiv. It doesn't delete anything. All their past work, ProPays, and bonuses stay right where they are in your reports.

If they ever come back, you can restore them in two clicks.


What Happens When You Archive Someone

Here's exactly what changes:

  • They're removed from your active People list
  • They can't log in to Protiv on web or mobile
  • They stop showing up when you assign people to ProPays or jobs
  • Their past ProPays, bonuses, and statements stay in your reports
  • Nothing gets deleted

Think of it like moving someone from your active roster to a folder in the back. They're out of the way, but the history's still there if you need it.


How to Archive One Person

  1. Go to People in the left menu
  2. Find the person you want to archive
  3. Click the actions menu on their row
  4. Click Archive
  5. Read the confirmation message
  6. Click Archive to confirm

You'll see "User archived successfully" when it's done.


How to Archive a Group of People at Once

If you've got a few people to archive, you can do them all at once.

  1. Go to People in the left menu
  2. Check the box next to each person you want to archive
  3. Click Archive in the bulk actions bar at the top
  4. Review the list of people in the confirmation
  5. Click Archive to confirm

This is the easiest way to clean up after a busy season or a round of turnover.


How to Restore Someone

If a worker comes back, or if you archived someone by mistake, you can put them back on your active list.

  1. Go to People in the left menu
  2. Click Archived Users in the top right
  3. Find the person you want to restore (use the search bar or branch filter if you've got a long list)
  4. Click the restore action on their row
  5. Click Restore User to confirm

You'll see "User restored successfully" when it's done. They'll go right back to where they were before, with the same role, branch, and wage. No need to set them up from scratch.


Who Can Archive and Restore People

Only Admins and Managers can archive and restore people.

A few rules to know:

  • You can't archive yourself
  • Crew leads and workers can't archive anyone
  • There's no limit on how many people you can archive

FAQs

Will archived people still show up in my reports?
Yes. All their past ProPays, bonuses, and statements stay in your historical reports. Archiving only affects what's active going forward.

Can I get someone's info back if I archive them by mistake?
Yes. Nothing gets deleted when you archive. Go to Archived Users, find the person, and click restore. They'll come back exactly the way they were.

Is there a time limit on restoring someone?
No. You can restore an archived person any time, even years later.

Can archived people still log in?
No. Once you archive someone, they can't log in to Protiv on the web or the app.

Will archiving someone delete their bonus history?
No. Archiving never deletes anything. All their past work stays in your records.

Can I find an archived person by searching the main People list?
No. The main People list only shows active workers. To find someone you've archived, click Archived Users in the top right of the People page.

What if I need to permanently delete someone's data?
Protiv doesn't permanently delete people. Archive is the way to remove someone from active use while keeping your records clean.
