How to Set Up a Deferred Bonus Pool
Step-by-step guide to creating and configuring a Deferred Bonus Pool to control when bonuses pay out.
Before you start
Make sure you know:
- What percentage you want to hold back
- Whether you want quarterly or annual release
- Which incentives this applies to (all of them or specific ones)
Setup steps
Step 1: Get to the right place
- Go to Settings
- Select Bonuses
- Click Deferred Bonus Pools
Step 2: Turn it on
- If Deferred Bonus Pools isn't already enabled, turn it on
Step 3: Create a new pool
- Click Add Deferred Bonus Pool
Step 4: Choose what it applies to
Pick one:
- All incentives — applies to every bonus setup
- Selected incentives — choose specific ones only
Step 5: Set the timing
Pick when held bonuses get released:
- Quarterly
- Annual
Step 6: Set your holdback percentage
- Enter the percentage you want to defer
- Example: 50% means half pays now, half pays later
Step 7: Set deduction behavior
- Decide if negative bonuses should also be deferred
- If you're unsure, leave this off and revisit it later
Step 8: Set the scope
Choose how it applies:
- New incentives only
- Active and future incentives
Step 9: Add a starting balance (optional)
- Add an initial deferred amount if you're carrying something over
- Include a reason so it's easy to track later
Step 10: Save and activate
- Save the pool
- Activate it when you're ready to go live
Quick checklist before you activate
- Holdback % is confirmed
- Timing is set (quarterly or annual)
- You know which incentives are included
- No overlap with another active pool
What happens once it's active
- Bonuses split automatically during calculation
- The held portion is tracked until the release date
- When the period ends, held amounts move into normal bonus statements and pay out as usual
Good to know
- You can only have one "all incentives" pool active at a time
- Pools can't overlap on the same incentives
- Pausing or stopping a pool stops new deferrals from being created
- Changes only affect future bonuses, not anything already paid or held
