Protiv Launch Journey: From Training to Going Live
The Protiv Launch Journey is a four-step process that guides administrators through training, account setup, team preparation, program launch, and post-launch review. This article explains the purpose of each step, the required tasks, and how administrators progress through the journey.
The Protiv Launch Journey guides administrators through the full setup process, from learning how Protiv works to launching the program with the team.
The journey is divided into four steps:
- Training
- Prepare for Your Launch
- Launch the Program
- Optimize Success
Each step is designed to help your company feel prepared before employees begin using Protiv.
Step 1: Training
a. Learn Protiv hands-on
The first step helps administrators learn how to use Protiv by completing hands-on training activities.
Administrators work through 14 achievements organized into training sections. Each section includes short videos and practical activities inside the platform.
b. Run Your Jobs
Learn how jobs and budgets work in Protiv by completing activities such as:
- Adding a labor budget to a job
- Completing a job
- Adding progress to a milestone
- Learning how your integration sends information to Protiv
- Creating a Look-Ahead Schedule, if applicable
c. Approve Incentives
Practice reviewing and approving the incentive types your company plans to use:
- Approve a ProPay
- Approve a ProPay Group, if applicable
- Approve a ProGoal, if applicable
- Approve a ProPhase, if applicable
Some activities may be optional depending on your company’s incentive program.
d. Payroll and Payout
Learn how to complete the final payroll steps:
- Mark a bonus statement as paid
- Download a payroll report
- Display the Leaderboard in full-screen mode on a television or shared monitor
e. Team Adoption
Prepare your employees to begin using Protiv:
- Download the Protiv crew app using the QR code or app-store links
- Invite employees to join your company in Protiv
The Training area also includes a Team tab, where administrators can access the Manager Leaderboard.
f. Practice Using Demo Data
Administrators can load sample jobs and budgets into the account for training purposes.
This allows you to practice setting budgets, reviewing jobs, and approving incentives without changing information connected to real jobs.
Moving to Step 2
Only administrators can advance the company to the next step.
After completing the training, an administrator selects:
f. I’m ready — prepare for launch
This opens the Launch Wizard, where the administrator will:
- Select the planned launch date
- Confirm billing information
- Choose how existing or sample information should be cleaned up
After the wizard is completed, Step 2 becomes available.
At this point, the account is only being prepared for launch. Employees are not automatically notified.
Step 2: Prepare for Your Launch
Get everything ready to launch
During Step 2, administrators complete four required setup areas.
All four areas must be completed before the company can move to Step 3.
a. Confirm Company Settings
Review the settings that control how jobs, wages, statements, and bonus calculations work.
Depending on your company’s setup, this may include:
- Bonus statement schedule
- Transaction timing
- Negative balance handling
- Deferred bonus settings
- Employee wages
- Non-billable time
- Drive time
- Job budget setup
Some settings may be completed or skipped automatically based on your connected job-management or time-tracking system.
b. Set Up Your Incentives
Choose the incentive program your company will use and confirm how earnings should be calculated.
This may include:
- Selecting ProPay or a ProGoal incentive type
- Choosing eligible branches, divisions, routes, roles, or employees
- Confirming the labor budget
- Setting the bonus pool
- Choosing how the bonus is divided among the crew
- Adding a waiting period before bonuses are released
- Configuring disqualifiers and penalties
These settings determine which jobs and employees are eligible to earn incentives.
c. Set Up Your Management Team
Assign the people responsible for managing the program.
The setup generally follows this order:
- Job managers
- Administrators
- Crew leads
- Incentive approvers
- Payroll owner
The crew-lead setup may be skipped for companies that receive this information automatically through integrations such as Aspire, BOSS, LMN, or Salesforce.
Administrators must also identify:
- Who will review and approve incentives
- Who will manage payroll and bonus statements
d. Schedule Your Rollout
Choose the dates when your team will be introduced to Protiv.
This section includes:
- Field training, which is required
- Leadership training, which is optional
- The Crew Training Presentation
- The option to invite your crew
The crew invitation remains locked until the scheduled Field Training date.
The unlock is based on the scheduled date. Protiv does not verify whether the training meeting was actually attended or completed.
Moving to Step 3
Step 3 unlocks automatically after all four required setup areas are completed.
There is no separate Finish button.
If a completed setup item is reopened or marked incomplete, Step 3 may become locked again until all requirements are completed.
Step 3: Launch the Program
a. Go live with your crew
Step 3 is the official Launch Day stage.
Before launch, the Launch Day card may move through three statuses:

Not Armed: The launch has not yet been prepared for activation.

Armed and Counting Down: The program is scheduled and ready for the selected launch date. This status does not automatically notify employees.

Live: The program is officially active, and the company can begin running incentives with the crew.
b. What Happens After Launch?
Once the program is live, the Launch Day area is organized into four sections.
c. Get Your Crew on the App
Confirm that employees have downloaded the Protiv app, accepted their invitations, and can access their accounts.
d. Approve Incentives
Begin reviewing and approving completed ProPays, ProPay Groups, ProGoals, or ProPhases.
e. Pay Bonuses
Review bonus statements, download the appropriate payroll report, and mark statements as paid after bonuses have been processed.
f. Celebrate Your Win
Review the employees who earned incentives during the launch period and recognize the team’s progress.

f. Missed ProPay Notifications
After the company goes live, Protiv may display a notification if jobs that should have generated ProPays were missed.
Administrators should review these notifications to confirm that eligible jobs, budgets, attendance records, and employees are being received correctly.
Moving to Step 4
An administrator unlocks the next step by selecting: Celebrate your win
Step 4: Optimize Success
Tune and grow after launch
Step 4 is planned as the ongoing optimization stage of the Protiv Launch Journey.
However, this step is still being developed and currently displays a Coming Soon message.
Administrators should not expect additional Step 4 activities or requirements at this time.
Some tools that may appear related to long-term optimization are already available outside Step 4, including:
- The Manager Leaderboard
- The Launch Earners Report
- Missed ProPay reviews
These tools can be accessed directly and are not dependent on completing or unlocking Step 4.
Important Things to Know
- Only administrators can move the company between launch stages.
- Advancing to Step 2 does not notify employees.
- Employees are not automatically notified when the launch is armed or counting down.
- Step 3 unlocks automatically when all four Step 2 requirements are complete.
- Reopening or undoing a Step 2 task may lock Step 3 again.
- Crew invitation availability is based on the scheduled Field Training date.
- Protiv does not confirm whether a scheduled training meeting was attended.
- Step 4 functionality is not yet available and should not be presented as an active feature.
- The Manager Leaderboard, Launch Earners Report, and missed-ProPay review can already be accessed without completing Step 4.
By following each stage of the Launch Journey, administrators can learn the platform, confirm their program settings, prepare employees, and begin running incentives with confidence.
