Alright, the next thing that we're going to look at is configuring your baseline settings. This is actually a three-part process. We're going to look into your general settings, your team settings (covering workers), and then jump back to settings to configure notifications.

First, let's jump into your general settings. On the left-hand side of the navigation pane, click on the settings tab. There are various ways to set up Protiv, but I’ll cover only the essentials to get Protiv up and running.

Start with your overtime settings. These will vary based on location, so consult local labor laws if you’re unsure. Configure weekly overtime (usually 40 hours) and set the multiplier (e.g., 1.5x). If applicable, add a second threshold. Repeat this for daily overtime and any seventh-day consecutive work rules. If a setting doesn't apply, leave it blank.

Ensure your time zone is correct, as notifications are sent to workers at 8 a.m. Monday through Friday. Next, select your payroll cycle (e.g., weekly, bi-weekly) and start day, followed by ProPay settings. Enabling the "Complete" status allows you to filter jobs for later review if you’re not reviewing ProPays daily.

To clarify ProPay statuses:

  • Pending: A ProPay is created without time data.
  • Started: Workers clocked in with at least one minute logged.
  • Completed: The job is done but not yet reviewed.
  • Approved: The ProPay is reviewed but not yet paid out.
  • Closed: The ProPay has been paid to workers.

For bonus statements, align the cycle with your payroll (e.g., weekly, bi-weekly). This cycle mirrors a bank statement, helping structure consistent payouts and encouraging a cultural shift toward ownership.

If you enable the Negative ProPay Balance setting, Protiv will offset negative ProPays with positive ones during the bonus period. For example, if a worker has a $1,000 positive ProPay and a -$500 ProPay, Protiv will net the balance to $500 for payout, similar to a bank statement. This promotes accountability and opens discussions on performance.

The Bonus Pool setting lets you allocate bonus savings between the company and workers. A common split is 75/25, where 75% goes to the worker. Think strategically; it’s easier to increase bonuses later than to reduce them. For example, if a job budget is $2,000 and workers complete it for $1,500, the $500 saved is split 75% to the workers ($375) and 25% to the company ($125).

For setup, admins should go to the Settings section under the General tab and configure these options. Save your settings, knowing you can adjust them as needed. This is part of Protiv's iterative approach. Good luck!
