This article provides step-by-step instructions on how to close bonus statements in Protiv and ensure your workers receive their hard-earned bonuses. 💰
Closing bonus statements in Protiv is the final step in the bonus payout process. It signifies that the bonuses have been processed and are ready to be included in your payroll.
Steps to Close Bonus Statements and Pay Workers ✅
-
Review Pending Statements:
- Go to the "Bonuses" tab on the left side of your Protiv dashboard.
- By default, you'll see all Pending bonus statements (bonuses not paid out to workers yet).
- Click the arrow (▸) next to a statement to review the individual details for the worker, including the bonus breakdown, deductions, and total earnings.
- Important: Review all the information, including the "Total Bonus" amount, as this is the figure you'll add to the worker's payroll as their bonus.
-
Close Statements:
- Individual Statement: Click the "Mark Close" button in the upper right corner of the statement details.
- Multiple Statements: Select the checkboxes next to the statements and click the "Mark Close" button that appears in the orange ribbon under "Bulk Action".
-
Select Pay Period:
- A pop-up window will appear asking you to select the pay period to which the bonus(es) should be added.
- Choose the appropriate pay period from the dropdown menu.
- Example: If you're processing payroll for June 7th, 2024, and the options in the dropdown are "June 2nd, 2024 to June 15th, 2024," select that date range since the payroll date falls within it.
-
Confirm Closure:
- Click the "Confirm" button to close the statement(s).
- You'll see a "Successfully! Statement closed" notification in the lower left-hand corner of your screen, and the statement status will change to "Closed."
-
Process Payroll:
- Protiv does not handle the actual payout of bonuses.
- You'll need to add the "Total Bonus" amount from the Pending Statement to your worker's payroll through your regular payroll process.
- Disclaimer: Protiv is not liable for any legal or financial issues arising from improper bonus payouts or non-compliance with labor laws. Ensure your payroll practices adhere to all applicable regulations in your local, state, provincial, or national jurisdiction.
- U.S. Compliance: Protiv calculates overtime differences when bonuses are involved, ensuring compliance with the Fair Labor Standards Act (FLSA) within the United States of America.
Important Notes:
- Only users with Admin or Manager permissions can close bonus statements.
- Closed bonus statements can be reopened if needed, and you can view them by filtering by "Status: Closed."
- Protiv does not delete bonus statement data, so you'll always have access to it for reference.
💪🏼 Pro Tip: To streamline the process, consider closing bonus statements on the same day you process payroll. This helps ensure timely and accurate bonus payouts.
