      🔌 How to Connect ExakTime to Protiv

      Connect ExakTime to Protiv, find your Company ID, set a sync start date, and learn how syncing works—including manual refresh options.

      Connecting your ExakTime account to Protiv allows you to automate ProPay creation and bonus calculations based on time-tracking data. This guide will walk you through the connection process and key configuration details to ensure a smooth integration.

      1. Log into Protiv

      • Make sure you have an active Protiv account with admin access.
      • Log in and navigate to the left-hand menu.

      2. Open the Integrations Page

      • In the left-hand menu, scroll down and click Integrations.
      • In the search bar or list, find ExakTime and click Connect.

      3. Gather Your ExakTime Credentials

      You’ll need the following information from your ExakTime account:

      • Username
      • Password
      • Company ID

      4. Enter Your Credentials and Authenticate

      • In Protiv, enter your ExakTime credentials.
      • Your Company ID should match your ExakTime domain (e.g., CompanyName.exaktime.com → Company ID = CompanyName).
        ⚠️ Do not include spaces in the Company ID field.
      • Click Authenticate.

      5. Set Your Sync Start Date

      To avoid importing test or invalid data, only sync from the date your company began using ExakTime consistently.

      • We recommend starting on or after your official go-live date.
      • Use the sync settings to define this start date during setup.

      6. First Sync Duration

      • The initial sync can take up to 24 hours, depending on your data volume.
      • After that, time data syncs with Protiv every 2 hours automatically.

      7. Force a Sync (Optional)

      • If you've made edits to time entries in ExakTime and want to pull updates into Protiv immediately, use the circular refresh icon next to Create ProPay to trigger a manual sync.

      8. Best Practices

      • Only import finalized time data—avoid syncing in-progress time entries for the current week.
      • If needed, filter out current-week data until payroll is finalized.
      • Ensure labor budget information is available—either as:

        • A percentage of contract price, or

        • Predefined hourly budgets in ExakTime.
