How to Create a Group ProPay Automation

Group ProPay Automation consolidates individual ProPays into organized groups on a set schedule. This feature is ideal for managing teams across multiple projects within set timeframes, like landscaping or service routes.

The Group ProPay Automation is designed to streamline the approval and tracking of multiple bonus opportunities within maintenance routes. By grouping individual ProPays into a single, manageable ProPay, you can efficiently oversee large numbers of bonuses without the need for individual approvals.

This approach allows the person managing the ProPay approval workflow of the company’s bonus program to approve entire routes, which contain numerous individual ProPays, in one go—simplifying operations and saving time.

Steps to Create a Group ProPay Automation


  1. 🛠️ Navigate to the Automation Page

    • Go to the Automation page in Protiv.
    • Click "Create Automation" in the upper right corner, then select the Group ProPay option.
  2. ⚙️ Setup

    • Choose a Trigger: Group ProPays are triggered by attendance or scheduled shifts.
    • Select a Crew Member: Choose a specific crew lead or worker for the group (e.g., Dalton Cook).
    • Filter Job Types: Group by specific job types or exclude tasks if needed.
    • Automatic Group Title: Customize titles for easy identification. Options include crew lead names, start dates, and other fields.
  3. 📝 Settings

    • Set the following configurations across all included ProPays:
      • Bonus Split: Define how bonuses are shared.
      • Manager Assignment: Assign a manager for oversight.
      • Bonus Pool: Set a bonus budget.
      • Lead Pay Budgets: Optionally, assign a lead pay budget.
  4. 📅 Schedule

    • Set Cadence: Configure the interval for group creation, e.g., weekly or bi-weekly.
    • Start Date: Set the initial date for the group.
    • For different intervals, use the repeat options (e.g., every Monday for weekly routes).
  5. ✅ Confirm and Activate

    • Review your setup. Choose "Start Now," "Save as Draft," or "Schedule for Later."
    • Once active, the automation will sync every 30 minutes. Use "Sync Now" for an immediate update.
  6. 🔁 Duplicating Groups

    • To duplicate an existing group, select "Duplicate Group." You can adjust only the crew lead, as all other settings remain the same.

⚠️ Warning: Each crew lead can only be assigned to one active ProPay group. Duplicate configurations with the same lead are not allowed.
