How Your Monthly Protiv Invoice Is Calculated

A step-by-step breakdown of how we arrive at your monthly charge.

The Full Formula

Every monthly Protiv invoice follows the same calculation.

Monthly usage = plan rate × billable users
Monthly charge = greater of (monthly usage OR term minimum)

Everything else in this article explains how those numbers are determined.


Step 1: Count Billable Users

First, Protiv determines how many users were billable for the month.

A user counts if they:

  1. Were assigned to a ProPay, or

  2. Logged time during the month

This calculation is done month by month and is not retroactive.

Step 2: Apply Your Plan Rate

Next, Protiv multiplies the number of billable users by your plan rate.

Your plan rate is the price per billable user on your account.

Example:

  1. Plan rate: $15

  2. Billable users: 7

  3. Monthly usage: $15 × 7 = $105

This result is your monthly usage amount.


Step 3: Apply the Monthly Minimum

Each billing term has a monthly minimum:

  1. Quarterly: $99 per month

  2. Annual: $84 per month

Important:
Minimums apply per month, not per term.

Protiv compares:

  1. Your monthly usage amount

  2. Your term’s monthly minimum

Whichever number is greater becomes your monthly charge.

Why minimums exist:
They keep billing predictable during slower or seasonal periods.


Step 4: Determine the Final Monthly Charge

Here’s how this works in real scenarios.

Quarterly Plan Examples (Minimum $99)

0 users $15 × 0 = $0 $99 (minimum applies)
6 users $15 × 6 = $90 $99 (minimum applies)
7 users $15 × 7 = $105 $105

Annual Plan Examples (Minimum $84)

0 users $15 × 0 = $0 $84 (minimum applies)
4 users $15 × 4 = $60 $84 (minimum applies)

Step 5: How Prepaid Credits Are Applied

Once the monthly charge is determined, Protiv applies it as follows:

If usage is at or above the minimum:

  1. The charge is deducted from your prepaid credit balance

If usage is below the minimum:

  1. The minimum is charged as cash

  2. Your prepaid credit is not reduced

Important:
This prevents prepaid credits from being drained during low-usage or paused months.


Step 6: What You’ll See on Your Invoice

If you want to audit your invoice, use this checklist.

Each monthly invoice shows:

  1. Number of billable users

  2. Your plan rate

  3. Usage amount

  4. Monthly minimum (if applied)

  5. Final charge for the month

This lets you trace the calculation line by line.


Common Questions

Why was I charged the minimum?

Your usage for that month was below your term’s monthly minimum.


Why didn’t my prepaid credit change this month?

Because your usage was below the minimum and the minimum was charged as cash instead.


Can changes later fix a past invoice?

No. Billing is calculated month by month and is not retroactive.
