In Protiv, milestones allow you to segment a ProPay job into smaller, more manageable phases, parts, or allocations. This is especially handy for big projects with distinct stages or when you want to keep a close eye on costs and progress for specific parts of a job.

Why Use Milestones?

  • Project Management Made Easy: Milestones help you break down complex projects into bite-sized tasks, making it easier to track progress and spot any potential roadblocks.
  • Cost Control: By setting budgets for each milestone, you can monitor expenses like a hawk 🧐 and ensure your project stays on budget.
  • Early Bonus Payouts: Milestones let you reward your team with early bonus payouts when they hit specific targets, boosting morale and keeping everyone motivated.

How to Set Up Milestones

  1. Create or Edit a ProPay: When you create a new ProPay or edit an existing one, you can set up milestones.
  2. Add Milestones: Look for the section to add milestones in the ProPay creation or editing screen. Click the "+ Add Milestone" button to create a new one.
  3. Milestone Details: For each milestone, you'll need to fill in the following:
    • Milestone Name: Give it a name that clearly describes its purpose (e.g., Foundation, Framing, Electrical, etc.).
    • Amount: Specify the budget for this milestone. You can enter either the number of hours or the total budget amount.
    • Cost Codes (Optional): Cost codes can be used in your business, and you can link them to specific milestones to track time entries even more accurately.
  4. Repeat: Keep adding milestones until you've broken down your ProPay job into the right number of pieces.

How to Use Cost Codes with Milestones

If you're already using cost codes to categorize different types of work, you can use them to organize your milestones too. Just assign the relevant cost codes to each milestone, and Protiv will automatically match time entries to the right milestones based on the cost codes used.

Example: Imagine you're building a house 🏠. You could create milestones for foundation, framing, electrical, and plumbing. If you have cost codes for each category, you can assign them to the corresponding milestones.

When your workers log their time using these cost codes, Protiv will automatically track the hours and costs for each milestone.

  • Milestones are not supported in Jobber.
  • You can approve milestones one by one as they're completed.
  • You can set aside some of the bonus money as a reserve when approving milestones to use for later milestones.
  • You can lock a milestone after it's approved to prevent any further changes.
